This policy explains what personal information Ockelton Electrical & Renewables collects, why we collect it, who we share it with, how long we keep it, and what your rights are. We’ve tried to keep it in plain English. If anything isn’t clear, please get in touch.
Ockelton Electrical Contractors Ltd (trading as Ockelton Electrical & Renewables), company number 13738737, is responsible for the personal information described in this policy. In data protection terms, we are the “controller”.
If you have any questions about this policy or how we use your information, contact us using the details above.
We only collect the information we need to deal with your enquiry and carry out work for you. This usually includes:
We don’t ask for sensitive information (such as health details). If you choose to tell us something like this – for example, that someone in the property has accessibility needs we should plan around – we’ll only use it for that purpose.
We get your information from:
The law says we need a valid reason (a “lawful basis”) for using personal information. Here’s what we use your information for and why:
| What we use it for | Our lawful basis |
|---|---|
| Responding to your enquiry, arranging a survey and preparing a quotation | Taking steps at your request before entering into a contract (or our legitimate interests if someone else enquired on your behalf) |
| Carrying out the installation or work you’ve asked for | Performing our contract with you |
| Registering and certifying the work – for example building regulations notification through our competent person scheme, MCS registration for renewables, and notifying the Distribution Network Operator (DNO) | Legal obligation, and performing our contract with you |
| Registering product warranties and guarantees | Performing our contract with you |
| Aftercare – servicing, maintenance reminders, warranty claims and dealing with any problems | Performing our contract with you, and our legitimate interests in looking after our customers |
| Asking for feedback about our service | Our legitimate interests in improving our service |
| Normal business admin – invoicing, accounts, tax, insurance and keeping records in case of disputes or legal claims | Legal obligation, and our legitimate interests in running our business properly |
| Marketing (see below) | Your consent, or our legitimate interests for existing customers |
We do not sell your information, and we don’t use it to make automated decisions about you.
If you submit a lead form through one of our Facebook or Instagram adverts, the information you enter is collected by Meta and passed to us. Once we receive it, we treat it exactly like any other enquiry, as described in this policy.
Meta also uses information about how you use its platforms for its own purposes. That’s covered by Meta’s own privacy policy, which you can read at facebook.com/privacy/policy.
We only share your information where it’s needed to provide our service, or where the law requires it. This may include:
Anyone we share information with is only allowed to use it for the purpose we’ve shared it for, and must keep it secure.
Some of our software providers (such as Google, Meta or Microsoft) may store or access information outside the UK. Where this happens, we make sure appropriate protections are in place, such as UK government adequacy decisions or approved data transfer contracts.
Our website uses Google Analytics to help us understand how many people visit the site, which pages they look at and how they found us. Google Analytics uses cookies – small files stored on your device – to do this. The information is used to understand and improve our website and advertising. Google may process this information outside the UK.
You can stop Google Analytics collecting information about you by installing the Google Analytics opt-out browser add-on, or by blocking or deleting cookies in your browser settings.
Occasional marketing: If you’re a customer, or you’ve asked us for a quote, we may occasionally send you information about similar services we offer – for example servicing reminders, battery upgrades or offers – by [email/text]. We’ll only do this if you didn’t opt out when you gave us your details, and every message will include an easy way to unsubscribe. For anyone else, we’ll only send marketing if you’ve said yes to receiving it. You can ask us to stop at any time by replying to a message or contacting us.
We only keep your information for as long as we need it:
| Type of information | How long we keep it |
|---|---|
| Enquiries and quotes that don’t go ahead (including Meta lead form enquiries) | 12 months from our last contact with you |
| Customer and job records, certificates and installation details | For the length of any warranty or guarantee, plus 6 years – e.g. up to 25 years for solar installations |
| Invoices and financial records | 6 years from the end of the financial year they relate to, as required for tax purposes |
| Marketing preferences | Until you unsubscribe. We keep a short note that you’ve unsubscribed so we don’t contact you again |
When we no longer need information, we securely delete or destroy it.
We take sensible steps to protect your information, including password-protected systems, limiting access to people who need it, and using reputable software providers. If something goes wrong that puts your information at risk, we’ll deal with it promptly and tell you and the ICO where the law requires us to.
Under UK data protection law you have the right to:
To use any of these rights, just contact us using the details at the top of this page. There’s no charge, and we’ll normally respond within one month. We may need to check your identity first.
